You've made the decision: it's time to stop managing IT yourself and hire a managed IT provider. Good call.
Now comes the harder part — figuring out which MSP is actually worth trusting with your business.
The market is crowded. Every provider claims to be local, responsive, and proactive. They all have sleek websites and convincing case studies. So how do you separate the ones who deliver from the ones who sell well and underdeliver?
This is the buyer's guide every Southeast Michigan business owner should read before signing an MSP contract.
Step 1: Get Clear on What You Actually Need
Before you talk to a single provider, define your requirements:
• How many users and devices need to be supported?
• Do you have a server on-site, or are you fully cloud-based?
• What software do your operations depend on? (industry-specific tools, accounting software, CRM, etc.)
• What's your current biggest IT pain — downtime, security, response time, cost?
• Do you have compliance or regulatory requirements? (HIPAA, SOC 2, state-specific regulations)
• What's your budget range? (be honest — this prevents wasted time on both sides)
An MSP worth working with will ask all of these questions before they propose anything. If a provider wants to quote you without understanding your environment, that's a red flag.
Step 2: The 8 Questions to Ask Every MSP You Interview
1. What is your average response time for a helpdesk request?
Don't accept 'we respond quickly.' Get a number. Best-in-class MSPs typically target under 1 hour for standard requests and under 15 minutes for critical emergencies. Ask how this is measured and whether it's contractually guaranteed.
2. How quickly can someone be on-site at my location?
Remote support resolves most issues. But some problems require hands-on intervention. For a Southeast Michigan business, having an MSP with a local team that can physically be at your office within hours matters — especially during a crisis.
3. How do you handle after-hours emergencies?
IT problems don't follow business hours. A server can fail at 11 PM. A ransomware attack can encrypt your files overnight. Understand exactly what happens when you call outside of 9-5: Do you reach a live person? An on-call technician? A voicemail?
4. What does proactive monitoring include — and can you show me a sample report?
Every MSP claims to monitor your systems. Ask what specifically they monitor, how alerts are triaged, and what they do when an alert fires. Ask to see a sample monthly report — a legitimate MSP should be able to show you exactly what clients receive.
5. When were your last three clients' backups tested?
This question separates MSPs who talk about backup management from those who actually do it. Testing means they took an actual file from backup and confirmed it restores correctly. If they can't answer this specifically, their backup management is likely 'set and forget.'
6. What cybersecurity stack do you deploy for clients?
A modern MSP should deploy: MFA on all accounts, EDR (endpoint detection and response) on all devices, email security/anti-phishing, and a structured patch management process. If the answer is 'antivirus and a firewall,' their security posture is outdated.
7. Do you have experience in my industry?
A construction company has different IT needs than a title agency, which has different needs than a professional services firm. An MSP with industry experience knows the software you use, the regulatory environment you operate in, and the specific failure points common to your business type.
8. What does your onboarding process look like?
Switching IT providers is a real process — documentation, migrations, access changes. A quality MSP has a structured onboarding process they can walk you through clearly. If the answer is vague, the transition will be bumpy.
Step 3: Understand the Contract Before You Sign
MSP contracts vary widely. Before you sign, make sure you understand:
• What is included in the flat monthly rate — and what triggers additional charges?
• Are on-site visits included, or billed separately?
• What is the contract term — month-to-month, or 1–3 year commitment?
• What are the termination clauses if the relationship isn't working?
• Is there a formal SLA (service level agreement) with defined response and resolution times?
A reputable MSP will walk you through the contract clearly and answer every question without rushing you. If a provider is evasive about contract terms, take that as a signal.
Step 4: Check References — Specifically in Your Area
Ask for references from current clients who are similar to your business: similar size, similar industry, located in Southeast Michigan. Then actually call them.
Ask the reference: 'When something goes wrong, how does this company respond?' The answer to that question tells you more than any sales conversation.
Red Flags to Watch For
• Quotes prices without asking about your environment
• Can't clearly explain what monitoring and proactive maintenance includes
• Vague about response times — no SLA or specific commitments
• Doesn't ask about your industry or software
• Pushes you toward a long contract term before you've built trust
• No local team — all support handled remotely from another state

Cybersecurity isn't a one-time setup — it's an ongoing program. The threat landscape changes constantly. New vulnerabilities emerge. Employees join and leave. Software gets updated and deprecated. For a small business in Southeast Michigan, having a managed IT partner who owns your cybersecurity posture — monitoring, updating, testing, training — is far more effective than a collection of tools you set up once and hope are still working.
